Submittal Guidelines
Each entry shall be submitted in an 8 1/2" x 11" binder. Project authorship must be described on a concealed identification sheet as described below. Identification of authorship elsewhere, on or in the binder, will disqualify the submission. Each entry binder shall include the following:
1. Entrant Identification - Project Registration Form
Securely affix to the inside back of the binder a sealed #10 opaque envelope containing the Project Registration Form (fill out the form online, print and include two hard copies in the envelope).
Please note: The entrant must complete the written authorization included on the registration form, signed by the architect of record and including their member number, which states as follows: "I am a member of the AIA Northern Virginia Chapter and have participated as a principal member of the design team of this project. The material presented is cleared for exhibition and publication. We attest to the accuracy of this material and agree to indemnify and hold the Chapter harmless in connection with such material."
Indicate in the appropriate area of the registration form whether or not the project is located in Fairfax County and if so, is it to be entered in the Fairfax County Exceptional Design Awards. Conceptual / Unbuilt Architecture is not eligible.
Indicate in the appropriate area of the registration form whether or not the project is located in Arlington County and if so, is it to be entered in the Arlington Design Awards Program. Conceptual / Unbuilt Architecture is not eligible.
2. Entry Fee
A check payable to "AIA Northern Virginia" enclosed in the same envelope with the 2 copies of the registration form, for the entry fee, etc., as follows:
Each project entry (except for Memorial award): $100
Each Herlong Memorial Award entry: $25
Additional contributions to the Herlong Memorial Fund may be added to the entry fee and are fully attributed to the fund.
The Awards Committee will select a jury of distinguished architects from outside the Northern Virginia Chapter. The composition of the jury is at the Committee's discretion and is not subject to review. The jury shall have the sole authority to determine whether and how many awards are justified in each category. No minimum or maximum number of awards has been established. Projects shall be considered on their own merits regardless of size, scope, or cost. The jury's decisions are final and not subject to review.
3. Project Description
The first page in the binder should include the following:
Category title (a project may be entered in only one category)
A brief summary of the project describing the program, gross SF, cost, and the architectural concept. This statement will be used in the judging process, and therefore, may not contain any identification of the project's design authorship.
LEED® Certification - If the project entered is LEED® certified, make sure to identify the sustainable measures incorporated into the design in the submittal. While there is not a specific sustainable category, per se, the jury may choose to award the project a Special Jurors Citation for exceptional and innovative sustainable measures.
4. Presentation
Drawings, photographs, and other graphic material, as follows:
Photographs showing each exterior facade of the project. Any additional exterior and interior views necessary to describe completely the context, extent, and quality of the finished project. Exterior views are optional for the Interior Architecture category. All project photographs must credit the photographer and have rights cleared to allow for their use by the Chapter.
Site plans, building plans, sections, and other drawings, to describe the project. For projects involving changes to existing structures, documentation of the original conditions is required.
At least six JPEG images on a CD submitted in a clear loose-leaf CD holder (please indicate your 1st, 2nd, and 3rd favorite images). These images should be duplicates of the images provided within the entry binder. The images must be 150dpi and no larger than 8” x 10” in format, since exceptionally large image files will adversely effect the PowerPoint presentation. The images of all entries will be used during the awards banquet and for general publicity purposes afterwards.
